Role Overview
We’re looking for a proactive, detail‑obsessed Executive Assistant to keep our leadership team—and especially our founder/CTO—on track, organized, and focused on the big picture. You’ll be the gatekeeper for calendars, the architect of seamless travel logistics, and the driving force behind clear, timely communication.
What You’ll Do
Calendar & Travel Management
Own and optimize busy calendars: schedule meetings, block focus time, and manage time‑zone juggling.
Coordinate domestic and international travel: detailed itineraries, visa support, and ground logistics.
Communication & Correspondence
Triage executive inboxes: flag priority messages, draft replies, and escalate as needed.
Prepare and proofread presentations, decks, and reports for leadership.
Meeting & Project Support
Plan and run executive‑level meetings: set agendas, take clear notes, and track action items to closure.
Liaise with teams across Engineering, Product, Marketing, and Finance to pull together materials and updates.
Admin & Operations
Manage expense reports and ensure timely reimbursements.
Maintain vendor relationships for office services, equipment, and external consultants.
Drive ad‑hoc projects: event planning, research requests, and special initiatives.
Confidentiality & Discretion
Handle sensitive information with the utmost professionalism and discretion.
Serve as a trusted partner who anticipates needs before they arise.
What You’ll Bring
3+ years of Executive Assistant or similar experience supporting C‑level leaders, ideally in a high‑growth tech or startup environment.
Exceptional organizational skills and a knack for juggling multiple priorities without dropping the ball.
Strong written and verbal communication—perfect grammar, keen attention to tone.
Tech‑savvy: comfortable with G Suite (Calendar, Docs, Slides), Slack, Zoom, and basic project‑management tools (Asana, Trello).
A “roll‑up‑your‑sleeves” attitude: you see a problem and you fix it.
Nice‑to‑Haves
Previous experience in SaaS, edtech, or childcare industries.
Fluency in English plus any additional language.
Familiarity with basic bookkeeping or finance‑tool workflows.
