Summary:

This Executive Assistant will provide outstanding administrative support to the President of Woodburn. The ideal candidate is highly organized, confidential, is proactive and results oriented and is committed to delivering excellent customer service every day. This role requires a deep understanding of accommodating executives in a technology service-oriented role and finding value in facilitating their efficiency and efficacy. The successful candidate demonstrates meticulous organization and accuracy in the management of a high volume of details. Experience exhibiting appropriate judgment and situational awareness with a bias for action is critical to success. A self-starter who can anticipate the needs of the executive they support with the knowledge of when to make proactive, informed decisions without requiring direction is a must.

Job Duties and Responsibilities:

· Responsible for supporting calendar management for President; Proactively schedule, prepare for, coordinate, and communicate meetings and events.

· Responsible for supporting in bound and out bound client communications for President; Manage email, written letters, phone and voice message, and other communication tools.

· Will involve some personal communication and coordination.

· Keep and distribute notes to proper parties from President’s meetings.

· Operate proactively, anticipate needs and resolve barriers to executive’s success by taking the appropriate level of action and/or communication necessary

· Assist in planning dynamic activities (meetings, presentations, events etc.) across multiple teams using creative formats (including virtual events)

· Triage and cascade relevant, actionable information to and from leadership, maintaining high levels of confidentiality where applicable

· Facilitate internal communication

· Help build company culture by supporting HR in the organization of events to support employee engagement

· Set up and regularly review operating practices and procedures; determine whether improvements can be made and work with management to implement changes as appropriate

· Organize and arrange travel

· Document all expenses; submit for reimbursement in a timely manner

· Actively drive special projects as assigned

· Attend weekly staff meetings to maintain an awareness of team priorities; track and prompt action related to the adherence of deadlines and deliverables

· Exercise professionalism interacting with team members, keeping objectivity in tact; exhibit a willingness to help and maintain an approachable, personable and calm demeanor

· Other duties as assigned
