Position Overview:
We are looking for an Executive Assistant with 7+ years of relevant experience to provide high-level administrative support to Director-level leaders and their broader teams. The ideal candidate thrives in a team-oriented environment and has demonstrated success managing complex calendars, coordinating travel, processing expenses, and handling communication from a shared inbox. Experience in the financial sector is a plus.
Key Responsibilities:
Manage and triage a shared inbox, responding to and flagging priority messages in a timely and professional manner
Provide comprehensive calendar management for multiple Director-level staff, including scheduling meetings across time zones, resolving conflicts, and ensuring optimal time use
Coordinate domestic and international travel arrangements, including flights, accommodations, itineraries, and ground transportation
Prepare and submit expense reports in compliance with company policies and timelines
Serve as a liaison between directors, their teams, and internal/external stakeholders
Handle sensitive and confidential information with discretion and professionalism
Collaborate with other Executive Assistants to ensure seamless support across the broader organization
Qualifications:
Minimum 7 years of experience as an Executive Assistant, preferably supporting Director-level or senior leadership
Prior experience working from a shared inbox is highly desirable
Strong organizational and time-management skills with the ability to prioritize and multitask effectively
Exceptional communication skills, both written and verbal
Proficient in Microsoft Office Suite and tools such as Outlook, Excel, and expense platforms (e.g., Concur, Expensify)
Demonstrated ability to work well in a team-oriented environment
High degree of professionalism, discretion, and reliability
