OBJECTIVES:
Executive Assistant will have a primary responsibility of supporting the General Manager to General Manager could focus on decision-making and higher-level responsibilities. Assuming confidential duties requested by General Manager, Executive Assistant also serves as links between the executive and the rest of the staff.
MAIN DUTIES AND RESPONSIBILITIES:
Calendar Management & Meeting Arrangements:
Efficiently manage the executive’s calendar, scheduling meetings, appointments, and travel arrangements.
Prioritize and organize tasks to maximize productivity and minimize conflicts.
Arrange, coordinate, and confirm meetings and conference calls.
Prepare meeting agendas, materials, and follow-up on action items.
Communications:
Make the internal communication materials to state company’s situation at every business change or achievement.
Make the document and presentation for the purpose of business presentation to various parties.
Coordinate and set-up the meeting at the level of HQ Management team.
Travel Arrangements:
Make the itinerary as per travel purpose working closely with HQ Management EA team.
Arrange meeting, event and protocol as per travel purpose.
Coordinate flight and accommodation in accordance with T&E policy for overseas traveler from local side.
Negotiate corporate contract with hotel, air-carrier and travel agency to travel cost and maintain priority at the booking.
Provide general administrative support as required.
Office Administration:
Responsible office necessaries, as office stationery, name card ordering, print material and handle office administrative expenditure.
Maintain and develop office efficiency by planning and implementing office system and culture.
Organize office operations and procedures including office supplies order and related cost control
Cleaner management
Monitor and forecast monthly GA expense and report related expenses to Finance.
POSITION REQUIREMENTS:
Knowledge, Skill & Personnel Quality:
Knowledge of business management and luxury industry
Fluent English skill both written and spoken
Highly Proficient in Microsoft Outlook, MS Office especially MS Excel and Power Point
Collaborative, professional & self-driven
Excellent communication and interpersonal skills
Highly organized with strong time management, task prioritization & follow-up skills in a multi-faceted and fast-paced setting
Ability to communicate with various levels of Management team
Ability to deal with confidential information and materials sensitively at any situation
Ability to make decisions timely with business changes
Qualification:
BA degree or above
Minimum 3 to 4 years or above relevant experience in business administration, preferable fashion industry with any experience
