Overview

The Executive Assistant, Global Talent Team Coordinator is a core enablement role within the Global Talent function, providing primary executive support to the Global Chief Talent Officer (GCTO) while also supporting the effective operation of the broader Global Talent team.

The role is first and foremost an Executive Assistant position, with approximately 30% of time dedicated to direct support of the GCTO. Given the nature and rhythm of the role, the remaining time leans into broader coordination and operational support for the Global Talent team, which is primarily based in New York, with team members also located in London, Paris, and Berlin.

This position sits at the intersection of senior leadership support and global team enablement, requiring strong judgment, discretion, organization, and the ability to operate confidently in a matrixed, international environment.

Responsibilities

Executive Assistant – Global Chief Talent Officer (Primary Focus)

  • Serve as the primary executive assistant to the Global Chief Talent Officer
  • Proactively manage a complex, fast‑moving calendar across multiple time zones
  • Coordinate domestic and international travel, including detailed itineraries and real‑time adjustments
  • Prepare, submit, and track expenses in accordance with Groupe policies
  • Support internal and external meetings through agenda preparation, materials coordination, and follow‑up
  • Act as a trusted partner to the GCTO, handling sensitive and confidential matters with discretion and professionalism
  • Anticipate needs and manage competing priorities to ensure the GCTO can operate effectively and efficiently

Global Talent Team Coordination & Enablement

  • Provide coordination and operational support to the Global Talent team, primarily NYC‑based, with global stakeholders across Europe
  • Schedule and support recurring and ad‑hoc team meetings, leadership sessions, and global forums
  • Support presentation development, including slide production, formatting, and coordination of inputs across geographies
  • Maintain trackers, timelines, and documentation to support delivery of Global Talent priorities
  • Assist with basic data organization and tracking to ensure visibility and follow‑through
  • Support smooth ways of working across time zones by managing logistics, communications, and shared materials
  • Act as connective tissue across the team, helping ensure consistency, alignment, and clear communication

Qualifications

  • Proven experience as an Executive Assistant, ideally supporting a senior or global leader
  • Experience working within a global, matrixed organization
  • Exceptional organizational skills with strong attention to detail
  • Comfortable managing complexity, changing priorities, and tight timelines
  • High level of professionalism, judgment, and discretion
  • Strong written and verbal communication skills
  • Advanced proficiency in Outlook, PowerPoint, Excel, and Teams
  • Confident working with presentations, trackers, and structured information

Compensation Range: $60,800- $93,600 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
