POSITION: Administrative Assistant – DUI Program
SALARY: $22/hr
AVAILABILITY: Immediate – Until Filled / Full-Time
POSITION SUMMARY
A leading Orange County Nonprofit Organization is seeking an administrative assistant to join our elite and highly dedicated professional team in our Irvine DUI office. Partners4Wellness has been providing the highest quality education, prevention, and mental wellness services in Orange County since 1957.
Under the direction of the Program Manager, the Administrative Assistant will perform a wide variety of administrative and clerical duties. The role involves supporting management, team members, clients, as well as handling front office tasks.
Duties/Responsibilities
o Provide Front Office Support: Welcome, assist and direct visitors and clients. Answer phones, schedule appointments, assist clients with inquiries and payments, and manage voicemail and follow-ups.
o Handle Daily Financials: Balance cash drawers, process online and in-person payments, print receipts, prepare weekly deposits, and maintain accurate records.
o Prepare Client Rosters and Files: Print daily counselor rosters, verify attendance with client files, confirm enrollments, and maintain up-to-date documentation.
o Manage Program Communication: Monitor and respond to program emails, process progress reports, and update records using probation orders and other client documentation.
o Coordinate Attendance Tracking: Print, send, and collect daily group and education rosters; enter attendance data into ADM and ensure accuracy.
o Support Enrollment Process: Schedule and conduct enrollment intakes, prepare client files, collect documentation and fees, and ensure all required forms are complete.
o Maintain Administrative Records: Create client labels, calendars, and schedules; ensure materials are stocked and updated regularly for office use.
o Manage Client Court/DMV Documentation: Prepare address labels, assemble mailings, and ensure proper distribution to clients and relevant agencies.
Required Skills/Abilities
o Excellent verbal and written communication skills
o Excellent interpersonal and customer services skills
o Proficient in Microsoft Office and related software
o Excellent organizational skills and attention to detail
o Ability to work independently and in a team environment
o High school diploma or equivalent
o Ability for learning new software and systems
o Proven administrative experience
