Executive assistant, sr.
The executive assistant, sr. Provides high-level administrative and operational support to the chief executive officer and chief financial officer, while also serving as a key partner in supporting board of directors activities and corporate office operations. This role requires exceptional judgment, discretion, and organizational skills, with the ability to manage complex priorities in a fast-paced, executive environment. The ideal candidate is highly proactive, detail-oriented, and comfortable working onsite in close partnership with senior leadership.

Key responsibilities
Executive administrative support
Provide high-level administrative support to the chief executive officer and chief financial officer.
Manage complex and highly dynamic executive calendars, including prioritization, conflict resolution, and scheduling across time zones.
Coordinate domestic and international travel arrangements and provide real-time travel support.
Prepare, submit, and reconcile executive expense reports in accordance with company policy.
Support quarterly earnings processes, including scheduling, logistics, and preparation for earnings calls.
Coordinate executive-level meals, events, and off-site meetings, including reservations and catering.
Provide administrative support related to executive and board communications, as required.
Board of directors support
Coordinate logistics and administrative support for board of directors meetings and executive sessions.
Prepare meeting rooms, technology, materials, and catering for board and executive meetings.
Support board members with administrative requests, including: park admission requests in coordination with park presidents
Annual vip ticket coordination
Ensure a high level of professionalism, confidentiality, and accuracy in all board-related activities.
Office operations & facilities coordination
Oversee day-to-day office operations, including ordering and maintaining office supplies.
Coordinate corporate office facilities and maintenance requests.
Receive and review daily security briefings and escalate items as appropriate.
Manage courier and shipping services, including fedex account setup and ongoing administration.
Financial administration, purchase orders & vendor support
Prepare, submit, and manage purchase order requests, revisions, and approvals.
Track vendor activity and communicate po status updates to stakeholders.
Manage confidential and sensitive purchase orders in alignment with internal controls.
Serve as administrative point of contact for key systems and vendors, including: iron mountain (records management administration)
Concur (user access requests via accounts payable)
Corporate amex (card issuance, updates, and cancellations)
Work schedule & availability
Standard work schedule: monday through friday, 8:00 a.m. – 5:00 p.m.
Additional hours, including evenings and weekends, may be required during peak business periods such as earnings cycles or board meetings.
What it takes to succeed
Bachelor’s degree or equivalent combination of education and relevant experience required.
5+ years of experience providing administrative support to senior executives in a corporate, fast-paced environment.
Proven experience supporting c-level executives and/or board of directors
Advanced proficiency in microsoft office (outlook, word, power point, excel).
Experience with enterprise systems such as concur, corporate credit card programs, and purchase order workflows.
