TERESA’S HOUSE: JOB DESCRIPTION – EXECUTIVE Assistant

JOB TITLE:Executive Assistant

RESPONSIBLE TO:Co-Owners

RESPONSIBILITIES:

The primary purpose of the Executive Assistant is to assist the two owners in achieving more in less time. The owners’ time and attention are their most valuable resource to lead and serve their own organization. The Executive Assistant will achieve this by handling special projects, calendar and email management, meeting preparation and logistics, managing investor relations, various other contacts and relationships for the owners.

QUALIFICATIONS:

1. Must possess strong interpersonal skills in order to interact in extremely delicate, sensitive, and/or complex situations.

2. Must possess advanced analytical skills in order to organize, plan, and coordinate special projects.

3. Must be comfortable operating in a collaborative, shared leadership environment.

4. Demonstrates analytical ability and possess a comprehensive knowledge of required data analysis and communication tools including Excel, Word, Power Point…

5. Must be able to relate positively and favorably to residents and families and to work cooperatively with other employees.

6. Ability to understand, remember and carry out oral and written instructions in English.

7. Ability to communicate effectively both verbally and in written format with residents, families, other care providers and supervisors.

8. Must be capable of maintaining regular attendance.

9. Knowledgeable of Teresa’s House Mission, Vision and Values. Conducts self in a manager that is congruent with the Mission, Vison and Values of Teresa’s House.

10. Ability to complete assignments while having constant interruptions.

11. Knowledge of Resident Rights per Assisted Living regulations.

12. Must be able to identify issues to be confronted or otherwise resolved pertaining to the dynamics of residency.

13. Must be capable of performing the Essential Job Functions on this job, with or without reasonable accommodation.

14. Participate in emergency fire or disaster drills and other in-service training as scheduled.

15. Participate in departmental meetings and family meetings as directed.

16. Follow Universal Safety Precautions.

ESSENTIAL FUNCTIONS:

1. Calendar and email management, occasional personal assistance for two executives

2. Meeting preparation, logistics, and taking minutes

3. Drafting meeting agendas and notes

4. Vendor, employee, partner, and investor relationship management

5. Compliance reporting, inspections, and facility visits (McKinney and Argyle, TX)

6. Track renewal dates on contracts and other business documents/processes

7. Policy reviews

8. Researching projects

OTHER DUTIES:

1. Perform other duties as assigned by the Owners of Teresa’s House.

WORK SCHEDULE:This is an exempt position working at least forty hours per week as assigned, including some evening, weekends and holidays.

Job Type: Full-time

Pay: $60,000.00 per year
