Full Job Description

General Overview:

The executive fellow is a 2- year full-time immersive leadership development program that provides support to the Sigma Chi Fraternity and its affiliated executive leadership and board of directors. The executive fellow will act as the first point of contact for internal and external queries while being responsible for a broad range of general administrative duties such as meeting coordination and scheduling, board meeting preparation, and executive travel management; in addition to complex extended projects and recurring assignments that are critical to the success of the organization. To be successful in this role, you should be well-spoken and professional in all aspects of communication, extremely well-organized, have excellent time management skills, and be able to coordinate multiple tasks and deadlines.

As an Executive Assistant, you will:

Grow in your project management skills as you work to manage high-priority projects with minimal supervision;

Improve your written and oral communication skills with a diverse group of associates and executive leaders as you develop an excellent understanding of the work and leadership styles of the executives you support;

Work directly with the Executive Director, senior leadership, and board of directors of the company

Develop an in-depth working knowledge of running a non-profit association management organization; and

Hone your personal and professional leadership skills in a fast-paced environment and supportive industry-changing organization.

Responsibilities:

Project Management

Leading to the completion of complex projects as assigned by leadership;

Proposing unique and innovative solutions to identified problems and opportunities;

Meeting regularly with leadership stakeholders to provide project updates, collect constructive feedback, and learn applicable professional skills.

Executive Support

Providing administrative and professional support to executive leadership including, but not limited to, entering and running database reports, screening phone calls and emails, scheduling meetings, and drafting print and email correspondence;

Attending meetings, taking minutes as requested, and assisting in maintaining board meeting records via Microsoft Teams, Sharepoint, and OneDrive; and

Preparing and creating print and digital presentation materials for meetings and events using PowerPoint and other report-based programs.

Operations Support

Assist in supporting our awards and recognition programs including the Undergraduate Annual Report, alumni annual awards, Significant Sig, Order of Constantine, etc;

Manage and respond to operation support requests;

Conduct data analysis and create corresponding reports related to awards and organization performance;

Assist supervisor in updating and managing the Operations annual calendar helping to ensure the team meets deadlines and goals.

Headquarters Support

Giving tours of the building to guests while ensuring common areas are prepared for upcoming meetings and events;

Managing the organization’s ritual inventory and other member-specific materials; and

Other duties as assigned by supervisor.

Education and Experience Requirements:

Bachelor’s degree;

Sigma Chi member in good standing;

Having attended Sigma Chi leadership conferences and trainings a plus.
