Job Summary

We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, checking in patients and taking payments, assisting with billing tasks and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.
Duties

Performing administrative tasks (checking clients in and out, processing copays, answering phones, scheduling appointments, and processing client intakes);
Performing medical billing when needed (applying for referrals with physicians and insurance companies, applying for pre-certifications pre-authorizations with insurance companies, submitting e-super bills and/or claims to insurance companies and billing company, recording payments received, researching client accounts, contacting insurance companies to resolve concerns and invoicing clients for amounts due);
Assisting in the general organization of the office and its functioning;
Other duties as requested or required relating to client relations, marketing and human resources.
Additional Duties

Assist in organizing and preparing therapy materials for speech therapists
Distribute materials and maintain proper work flow with needed materials and therapy room organization
Perform specific tasks as directed by speech therapists as it pertains to their specific work
Participate in marketing development and outreach for Speech Academy
Responsibilities

Answer incoming phone calls and route them to the appropriate person
Schedule appointments and maintain calendar
Check in patients and take payments
Assist with medical billing tasks
Write emails, memos, and letters and distribute them appropriately
Contribute to company reports
Maintain an organized filing system
Develop, update, and maintain relevant office procedures
Support speech therapists with work flow and needed materials

Qualifications

High school diploma/GED required, Associate’s degree or administrative training is preferred
Previous experience as an Administrative Assistant or in a similar position
Familiarity with standard office equipment such as printers and fax machines
Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
Highly organized with excellent time management skills and the ability to prioritize projects
Experience with a healthcare organization a plus
