Full Job Description

We are looking for a Front Office Manager to manage a front desk on a daily basis and to perform a variety of clerical tasks. This is often the first person in the office and will be the first point of contact for our company. Duties include offering administrative support across the organization. You will welcome customers who visit the business. The successful candidate will have a great customer service attitude. You should be able to deal with situations in a timely and effective manner, while streamlining office operations. Multitasking skills are very essential for this position. Ultimately, the Front Office Managerduties and responsibilities are to ensure the front desk executes all administrative tasks to the highest quality standards.

Job Duties

Greet and welcome arriving customers

Direct customers to the appropriate person and office

Maintain office security by following safety procedures and controlling access via the reception desk and gate access

Answer, screen, take messages and forward calls

Schedule Customers and Technicians

Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

Provide basic and accurate information in-person and via phone/email

Receive, sort and distribute daily mail/deliveries as needed

Order front office supplies and keep inventory of stock

Keep updated records of business expenses and costs

Other duties as needed

Job Requirements

Proven work experience as a Receptionist, Front Office Representative or similar job role

Proficiency in Microsoft Office Suite

Proficiency in Quickbooks

Hands-on experience with office equipment (e.g. fax machines and printers)

Professional attitude and appearance

Solid written and verbal communication skills

Ability to be resourceful and proactive when issues arise

Excellent organizational skills

Multitasking and time-management skills, with the ability to prioritize tasks

Strong customer service attitude

High school degree; additional certification in Office Management is a plus

Valid Driver’s License

Pay: $18.00 – $19.00 per hour

Expected hours: 40 per week
