The Receptionist provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, as well as additional clerical duties.
Essential Functions/Qualifications
The responsibilities of the position include the following:
Answer, screen and redirect phone calls
Take and relay messages
Provide information to caller
Greet persons entering the office
Direct persons to correct destination
Deal with queries from the public, fishermen, and clients
Ensure knowledge of staff movements in and out of the office
Prepare letters and documents for mailing
Receive and sort mail and deliveries
Schedule appointments
Set up conference calls
Tidy and maintain the office premises
Other duties as assigned
Competencies
To perform the job successfully, an individual should demonstrate the following functional and interpersonal competencies:
Functional
Ability to read and comprehend simple instructions, short correspondence, and memos in English.
Ability to write simple correspondence.
Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to perform these operations using units of American money, weight measurement, volume, and distance.
Knowledge of office administration and procedures.
Ability to maintain a high level of accuracy in preparing and entering information.
Excellent interpersonal and customer service skills.
Computer skills including spreadsheet and word processing programs at a highly efficient level are necessary.
Maintain strict confidentiality in performing the duties assigned.
Proficient in MS Office skills including Word, Excel, and Outlook. Comfortable with SharePoint and other web based programs.
Prior office experience preferred.
Seafood industry experience a plus.
Interpersonal
Education and Experience
High school diploma or general education degree (GED). Training/Skills: Read, speak, write and understand English and Spanish for effective communication. Ability to demonstrate outstanding and consistent customer service skills. Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Ability to add and subtract two digit numbers and to multiply and divide with 10’s and 100’s. Ability to perform these operations using units of American money and weight measurement, volume, and distance. Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
Work Environment and Schedule
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is occasionally required to stand; walk; reach with hands and arms and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 10 pounds.
Mental Activities
The employee is frequently required to use interpersonal and teamwork skills. The employee needs to be able to discern details on timesheets and reconcile appropriate calculations. The employee needs to regularly demonstrate attention to detail. The employee is occasionally required to use creativity, independent judgment, discretion, and problem analysis.
