Key Responsibilities

Payroll & Compensation Operations (45%)

  • Manage end-to-end payroll operations, including payroll data collection, validation, processing coordination, and liaison with external payroll vendors.
  • Ensure payroll, bonus, commission, allowances, reimbursements, and final payments are processed accurately, compliantly, and on a timely basis.
  • Collaborate with HRBP, Finance, Tax, Legal, business stakeholders, and external vendors to ensure complete and accurate payroll inputs.
  • Work closely with the Legal team on employment contracts and payroll-related contractual matters, where required.
  • Prepare payroll reports and support ad-hoc reporting requirements for management, regional, and global stakeholders.
  • Conduct global data collection, analysis, and coordination to support compensation-related projects and initiatives across regions.
  • Develop a strong understanding of HR systems and payroll platforms to ensure effective execution, data integrity, and process compliance.

Process Improvement, Digitalization & Project Support (15%)

  • Drive process standardization, SOP development, workflow optimization, and system enhancement initiatives within the shared service center.
  • Participate in discussions with system consultants, cross-functional stakeholders, and project teams to design, review, and evaluate solution proposals.
  • Support or lead automation and efficiency improvement initiatives to enhance accuracy, turnaround time, scalability, and governance.
  • Continuously identify opportunities to improve payroll and C&B processes through system optimization, digital tools, and process redesign.
  • Ensure approved solutions are implemented effectively in collaboration with relevant stakeholders.

Benefits Administration (15%)

  • Administer employee benefits, including insurance enrolment, termination, renewal, claims coordination, and related documentation.
  • Manage expatriate benefits, including tax equalization, housing, education support, relocation, home leave, and other mobility-related benefits.
  • Ensure all benefits administration processes are accurate, compliant, properly documented, and aligned with company policies.

Compliance & Audit (10%)

  • Support internal and external audits by preparing complete, accurate, and timely documentation.
  • Ensure compliance with statutory requirements, company policies, and payroll-related regulations across multiple countries.
  • Maintain proper employee records and ensure audit readiness at all times.

Stakeholder Support & Advisory (10%)

  • Provide frontline support and advisory on payroll, compensation, and benefits-related matters.
  • Collaborate with HRBP, Finance, Tax, Legal, system vendors, external consultants, and business stakeholders across regions.
  • Ensure timely response, proper follow-up, and effective resolution of operational issues.

Employee Engagement & Culture Support (5%)

  • Support the execution and communication of employee engagement, culture, and people-related initiatives.
  • Assist in coordination, communication, logistics, and participation tracking for engagement activities.
  • Perform any other duties or responsibilities as assigned by the Company or direct supervisor from time to time to support business and operational needs.

Requirements

  • Degree or diploma in Human Resources, Business Administration, Finance, Accounting, or related field.
  • Relevant experience in payroll, C&B, HR operations, or shared service environment is preferred.
  • Familiar with payroll software, HR systems, and project management.
  • Proficient in MS Excel, Word, PowerPoint, and Chinese word processing.
  • Strong accountability, ownership, and attention to detail.
  • Professional, responsible, and able to communicate respectfully with stakeholders.
  • Good learning ability, adaptability, and problem-solving skills.
  • Able to work independently and manage tasks under pressure.
  • Good command of written and spoken English and Mandarin to deal with Mandarin stakeholder; Cantonese is an advantage.
  • Willing to support global operations across different time zones when required.
