The Administrative Assistant II provides complex administrative support to the Department of History under the supervision of the department Chairperson. Work requires comprehensive knowledge of the department. This position requires organizational skills and interpersonal skills necessary to support the functioning of the unit. Work involves issues related to policy, procedures, and confidential matters, and involves considerable participation in the work of the supervisor. Incumbents exercise discretion and judgment with considerable consequence of error.

Responsibilities and Duties

Maintains and assists in the development of department systems including databases and documents. Examples of databases and documents may include: majors/ minors, advisor/ advisee, community agencies used for serving learning/ internships, student academic plans, faculty lists, computer inventory, key inventory, supply lists, syllabi, and student files.
Prepares official documents or uses university computer programs for the following: faculty contracts, travel approvals, search related documents, course scheduling, student enrollment, advisor assignment, book orders, catalogue copy, promotional and information materials, course evaluations, professional memberships, and other tasks or initiative as indicated by supervisor. Assist with graduation clearance for students.
Manages the front office including but not limited to greeting and assisting students, faculty, or other visitors, answering phones, emails, and other department correspondence, scheduling appointments for supervisor, and updating department website. Provides general information about the major without making recommendations or presenting information that could be misconstrued as ‘advising’. Follows policies of the department. Actions should support supervisor decisions.
Works closely with supervisor. When appropriate and requested by supervisor acts as an intermediary for supervisor, interacting with professionals and individuals (students, family members) within and outside the university community. Provides information requiring comprehensive knowledge of institutional policies, procedures, and special department issues. Facilitates an appropriate course of action through consultation with supervisor. Conveys and explains administrative decisions and policies to other staff and transmits directions and instructions as requested by supervisor.
Assists in preparing and administrating department budget by updating accounts and running periodic reports and transfers.
General oversight of the department and faculty support including but not limited to syllabi preparation, copying, scanning, archiving documents, book orders, supply orders, work control (repairs, special projects), bulletin board maintenance, new faculty space, office moves, organization, and general appearance of office space.
Creates reports when requested. Researches, analyzes, and summaries information and source materials for reports. May include incorporating edits from multiple reviewers, adds graphics or other effects to create a final version quality report.
Manages the workload of student workers. Prepares tasks for the worker in advance appropriately consulting with faculty and supervisor.

Qualifications and Skills
Required:

High School diploma or equivalent.
Three years of experience providing administrative support.
Excellent organizational skills, initiative and sound judgement.
The ability to follow through on tasks that are ongoing in an orderly and systematic way.
General knowledge of and skill in the practical application of generally accepted practices and procedures.
Ability to communicate effectively.
Ability to proofread and edit written documents.
Skill in Microsoft Office (Word, Excel, and PowerPoint), databases, internet and email.
Ability to understand and follow instructions.
Ability to interact effectively with internal and external parties in a courteous and efficient manner.
Ability to plan, organize, prioritize and execute multiple and continuing assignments with general instructions and show evidence of outcomes.

Preferred:

Experience in Higher Education.
Proficiency with PeopleSoft and/or Stratus Financials.

Except for qualifications established by law, additional related experience, and formal education in which one has gained the knowledge, skills, and abilities required for the full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Salary and Benefits
$40,609 annually and full University benefits that include annual leave, up to 15 holidays, personal and sick days; excellent health, life, and retirement plans; and tuition remission. Applicants with TU or USM service may receive salary credit.
