We are working to partner with experts in the areas of race, inclusion, and equity to conduct a series of trainings for both staff and volunteers.
Camp Kaufmann: The camp experience is an essential part of Girl Scouting – and as the only Girl Scout council in the nation in which 100% of the girls we serve are growing up in an urban environment, we prioritize offering high-quality outdoor education opportunities to New York City girls. We recently upgraded and enhanced facilities at our 425-acre Camp Kaufmann in Dutchess County, including the construction of a new swimming pool.

Position Description:

The Girl Scouts of Greater New York is looking for a proactive and detail-oriented individual to help ensure our office runs smoothly and efficiently. This role is key to creating a welcoming, organized, and productive environment for our staff, guests, and community. If you enjoy keeping things in order, solving problems, and supporting a team behind the scenes, we want to hear from you. The Office Coordinator will report to the Senior Director of Operations. This is a part-time, on-site position. Typical hours are 20 hours per week, Monday–Friday, with some flexibility depending on office/event needs.

Responsibilities:

Office Maintenance & Facilities:
Oversee the cleanliness, organization, and upkeep of all shared office spaces including entrances, hallways, private offices, storage areas, conference rooms and common workspaces.
Support daily conference room and meeting needs including technology setup, food and beverage prep and supply setup.
Monitor and restock break-room supplies, maintain and sanitize equipment, and ensure cleanliness of counters, tables and floors.
Oversee monthly and quarterly vendor visits and service appointments.
Identify and address minor office repairs in a timely manner; coordinate with property management for larger facility-related issues.
Track inventory of office supplies, food and beverages, and equipment, reporting when items need to be replenished.
Mail & Package Management:
Sort and organize incoming mail and deliveries for staff.
Meter, label, and send outgoing items via USPS, UPS, or courier services.
Evaluate and streamline mailroom and package procedures for efficiency and accuracy.
Technology Support:
Support GSGNY onboarding and offboarding process by preparing, distributing, and collecting necessary equipment and supplies.
Maintain an accurate inventory of all technology and equipment; ensure items are functional, accessible, and accounted for.
Serve as the on-site point of contact for basic tech troubleshooting and equipment support.
Event Support:
Assist with internal meeting logistics including guest check-ins, catering orders, and A/V setup.
Provide on-the-ground operational support for on and off-site events—timing, days, and responsibilities will vary based on event needs and season.
Coordinate courier services to ensure timely delivery and pickup of materials for off-site events.

Qualifications:

Associate’s Degree and/or a minimum of 2 years’ experience in an office operations or facilities role
Self-starter with excellent organizational and time-management skills; detail-oriented and dependable.
Effective written and verbal communicator with proficiency in basic computer applications
Skilled at juggling multiple tasks, meeting deadlines, and prioritizing workload in a fast-paced environment.
Ability to analyze problems and situations as they arise, while analyzing processes to find short-term improvements and long-term solutions.
Comfortable with physical tasks, including the ability to regularly lift and move items up to 50 pounds.
This is an on-site role and requires a consistent presence in the office.

Compensation:

$20.00 hourly rate
