About the Role:
We are looking for a skilled Office Coordinator to undertake the facility and onsite day to day tasks at our Tennozu office. You will be working at the office 5 days / week and responsible for ensuring that our office operations run smoothly and we are successful in
supporting other business activities.
What You Will Do:
Follow office workflow procedures to ensure maximum efficiency
Manage desk booking system and maintain its rules and procedures
Maintain files and records with effective filing systems
Support other teams with various administrative tasks (redirecting calls, scheduling meetings, send and receive packages, etc.)
Handle company-wide communications such as announcements, and invitations
Greet and assist visitors when they arrive at the office
Monitor office expenditures and handle all office contracts (rent, service etc.)
Monitor office supplies inventory and place orders
Assist in vendor relationship management
Create and maintain office safety programs including emergency preparedness
Keep the office clean and organized
Host internal and external events for employees
What We Are Looking For:
5+ years of experience in workplace or administrative support in a fast paced environment
A genuine passion for creating an exceptional workplace that fosters collaboration and creativity among employees
Excellent time management and organizational skills, including ability to prioritize tasks and meet deadlines
Excellent customer service skills with the ability to identify and address employees’ needs effectively
Great interpersonal and communication skills in Business level English and fluent Japanese for both written and spoken
Nice to Have:
Experience in customer service or hospitality industry
University Diploma or equivalent
Microsoft Office, Slack, G-suits
