Job SummaryThis position reports to the Office Manager & Executive Assistant and is based in our Los Angeles office. You will be responsible for office coordination duties within our LA office, ensuring that we maintain an organized, clean, safe and functional environment for our employees and that all visitors are welcomed and have a positive experience. Important job duties will include planning Board of Directors and other meetings and events in the LA office, preparing and sending letters and other documents, maintaining electronic files, and other assistance with sensitive documents as needed. This position will also provide executive support to our Chief Financial Officer and Chief Merchandising Officer, which will entail coordinating complex schedules, meetings, travel, and administrative needs, allowing the executives to maintain focus on the business while being efficient and productive. Key measures of success will be your ability to adapt, take initiative, and be resourceful. You will represent Lulus and embody our company culture by displaying a positive and professional attitude, remaining calm under pressure and resolving complex and unexpected issues as they arise.

What You’ll DoOffice Coordinator responsibilities:

Create a welcoming and positive experience for all visitors to the Los Angeles office by greeting them, determining the purpose for their visit, and directing them to their designated meeting location or contact.

Oversee Los Angeles office supplies levels and order management.

Sort and distribute all mail and packages.

Maintain visual organizational chart for Los Angeles office.

Be responsive and extremely discrete.

Act in a manner that is consistent with Lulus’ values, policies, procedures, and brand standards.

Maintain physical space, ensuring a safe, clean, and functional environment. Receives, manages, and processes work order requests; ensures problems are resolved quickly. Acts as liaison between employees and any outside contractors needed to resolve specialized problems.

Executive Assistant Responsibilities

Support CFO and CMO with administrative tasks, organization, and scheduling.

Manage and maintain multiple calendars, prioritizing appropriately and using good judgment in offering solutions to complex scheduling and meeting planning needs, with limited supervision.

Interact professionally with vendors and third parties on behalf of the CFO and CMO.
