The Court Services Division of the State Court Administrators Office (SCAO) is seeking an experienced and enthusiastic Office Manager. This position performs professional-level administrative and supervisory work, overseeing the daily operations of the Division and its various units, and is responsible for working directly with division leadership to ensure the effective and productive implementation of the Division’s work efforts and strategic goals. The Office Manager is often the first point of contact for internal and external customers for division-related tasks and responsibilities and works closely with other SCAO divisions and professional staff, outside state agencies, and vendors.

Example of Duties

The following are examples of major job duties expected for this position to perform:
Office Management

Supervises and independently coordinates office administrative services, including direct supervision of administrative personnel on the administrative team and overseeing general office management duties, maintenance of divisional records management, and employee onboarding.

Oversees purchasing office supplies and equipment, including collaborating with other SCAO divisions such as IT and facilities management.

Coordinates, plans, and keeps agendas and minutes for division meetings and other committees and/or workgroups attended and staffed by division members.

Budget Management

Acts as the budget coordinator for the division. Specific responsibilities include but are not limited to participating in the planning and development of the division’s budgets and fiscal controls, processing invoices, reviewing and projecting expenditures, assembling data for budget planning, and coordinating and monitoring year-end financial processes.

Works with division staff in coordinating contract management, negotiating with vendors, and asset management.

Customer Service

Serves as a liaison to answer questions and coordinate office activities with other court and court-related divisions or agencies and officials.

Oversees division correspondence, the primary point of contact for the division for members of the public and other stakeholders.

Collaborates with division managers, supervisors, and staff to ensure the admin team is providing effective and high-quality support to each unit and its various programs and responsibilities.

Minimum Qualifications

Graduation from high school or equivalent.

3-5 years of advanced administrative or office management experience, including supervising staff.

Knowledge, Skills, and Abilities

Knowledge of budget planning and management.

Strong written and verbal communication skills, able to produce reports, keep clear meeting records, handle vendor negotiations, and work effectively with others.

Highly organized and motivated to create and maintain clear and easy-to-use processes and methods for maintaining division operations and institutional knowledge.
