Purpose of the role

To provide day-to-day administrative support to the Commercial & Marketing department, helping keep its core operational functions running smoothly across the Fairhomes Gibraltar portfolio. The role works alongside the existing departmental assistant and reports to the Commercial Management Team.

Key responsibilities

• Checking and issuing incoming and outgoing commercial invoices.

• Supporting debtor follow-up and arrears administration.

• Assisting with asset management duties, including helping ensure properties are appropriately managed, maintained and compliant with health & safety legislation.

• Supporting the rent review process.

• Maintaining the asset database (Web Terrier), including bulk updates from spreadsheets.

• Answering and distributing telephone enquiries.

• Attending face-to-face client meetings and representing the company professionally.

• Preparing and distributing correspondence to tenants, clients and agents.

• Car park leasing administration and space-allocation records.

• Preparing and circulating periodic and statutory reports (for example occupancy, market pricing and rent-review schedules).

• Digital and hard-copy filing, and keeping folder structures organised and current.

• Providing social media and marketing support for the department.

• Providing wider administrative support to the commercial team as priorities shift.

Person specification

Essential

• Strong organisational skills and a keen eye for detail.

• Confident working with spreadsheets and database entry.

• Reliable and methodical, able to keep recurring tasks and deadlines on track.

• Clear and articulate written communication for tenant and client correspondence.

• Presentable and professional in face-to-face client settings.

• Team-oriented, adaptable and willing to support colleagues as demands change.

Desirable

• Previous administrative experience, ideally within a property or commercial setting.

• Familiarity with Office 365 and asset or property database systems.

• Familiarity with social media and basic marketing tools.

Terms

• Part-time, ideally afternoons, hours and working pattern to be confirmed.

• Based at World Trade Center Gibraltar

• Remuneration to be confirmed.
