What You’ll Do in This Position

Provides a variety of administrative and staff support services to an organizational unit. May assist in the preparation and control of records, statistics, and reports regarding operations, budget, personnel, etc. Administers programs, projects, and/or processes specific to the operating unit served. May serve as administrative liaison with others within and outside the organization regarding administrative issues related to purchasing, personnel, facilities, and operations.

Performs, as a generalist, a variety of administrative functions in a SRNS organizational unit by supporting/assisting administrative, technical, and/or management personnel as follows: Gathers information, prepares special reports and presentations, maintains records, and projects future trends. Provides input and assistance on organizational and company policies and administrative procedures. Coordinates activities in support of safety, health, financial, and overall operations of the Site. Studies work methods in order to improve workflow, simplify reporting procedures, measure performance standards, and/or implement cost reductions. Analyzes unit operating practices, such as recordkeeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance standards to create new systems to revise established procedures. Reviews and answers correspondence. May compile, store, and retrieve management data, using computer. Serves as administrative liaison within and outside the organization regarding administrative issues concerning outside services, purchasing, personnel, facilities, and operations. May be responsible for specific activities related, but not limited, to the following: Training requirements and logistics; Time and attendance records; terminations, new hires, transfers; operating reports and statistical records of performance data; purchase requisition review; work request coordination; field property administration; material and/or waste inventory and tracking; data collection for budget development; compiling, submitting and tracking Site radiological goals such as ALARA, OSHA, Event investigation and followup reporting for abnormal events (SIRIM); conducting financial and operational audits; assist with development of organizational self-assessment criteria, administration of self-assessment programs and followup reporting; preparation of reports.
Operate and/or use equipment such as a computer (including software), various media readers, copiers, scanners, telephone equipment, Space Savers, other related office equipment, and supplies.

Performs, as a generalist, a variety of administrative functions in an organizational unit as follows:

Provide exceptional customer service
Track the volume of records received for data entry and filing
Receive and quality check records for errors,
Sort and file records
Coordinate with customers to correct record errors
Create new program and individual training record folders
Create record labels utilizing specialized labeling software
Purge and archive individual training record files of terminated employees
Purge and archive inactive program records
Monitor and process audit and research requests
Monitor shared email accounts and complete request actions
Perform data entry
Gather information, prepares special reports and presentations
Maintain various records
Operate and/or use equipment such as a computer (including software), various media readers, copiers, scanners, telephone equipment, Space Savers, other related office equipment, and supplies
Provide input and assistance on organizational and company policies and administrative procedures
Coordinate activities in support of safety, health, financial, and overall operations of the Savannah River Site
Studies work methods in order to improve workflow and simplify reporting procedures
Analyzes unit operating practices, such as recordkeeping systems, forms control, office layout, personnel and budgetary requirements, and performance standards to create new systems to revise established procedures
Reviews and answers correspondence.
Compiles, stores, and retrieves data for management using various software and computer systems
Serves as administrative liaison within and outside the organization regarding administrative issues concerning outside services, purchasing, personnel, facilities, and operations
Attends various meetings as directed
Works with other staff members in a team setting.

May be responsible for specific activities related, but not limited, to the following:

Training requirements and logistics
Maintain filing systems
Create and maintain logs to track and report total records numbers
Ordering material
Time and attendance records
Terminations, new hires, and transfers
Operating reports and statistical records of performance data
Purchase requisition review
Work request coordination
Field property administration
Material and/or waste inventory and tracking
Data collection for budget development
Assists with development of organizational self-assessment criteria, administration of self-assessment programs and follow-up reporting
Assists with the preparation of reports.
May perform other duties as assigned.

Security Clearance Information

SRNS is required by DOE to conduct a pre-employment drug test and background review that includes checks of personal references, credit, criminal records, and employment history, and education verifications. Positions with SRNS may require applicants to obtain and maintain a DOE L or Q-level security clearance, which requires U.S. citizenship. Factors such as pre-employment background review results, dual citizenship status, and unpaid and/or unfiled taxes may impact your ability to obtain a security clearance. This list of factors is not exhaustive; pre-employment information and security clearance requests are reviewed on a case-by-case basis.

Qualifications We Require

High School Diploma, GED, or other equivalent State Credential

Other Qualifications

Demonstrated experience with Microsoft Office products (Word, Excel, PowerPoint, etc.) and email systems. Ability to operate standard office equipment (copiers, scanners, computers, etc.). Excellent written and oral communication skills are required.
Specific training may be required for operations or administrative policies. Work from standard and special office procedures and supervisory direction.

Qualifications We Desire

Associate Degree in a nontechnical or business discipline or administrative area or BS degree.
Sumtotal/Cornerstone LMS – Learning Management Systems experience
Electronic Document Workflow Experience – Training Forms Control System (TFCS)/EDWS
Training Experience
Administrative Records Experience
PeopleSoft/Coupa – Inventory Control experience
Operating Xerox Copier experience
