What You Will Do
Provides professional level administrative support as a generalist for specialized functions, programs and/or organizations that include a combination of administrative tasks in such functional areas as finance, human resources, purchasing, research and development. Specific duties may include but are not necessarily limited to tracking action items; formatting and distributing internal and external correspondence; maintaining electronic and hard-copy files; coordinating complex calendars, schedules, meetings and conference logistics, and travel arrangements; participating on special projects; and serving as a resource for staff regarding established administrative policies and procedures. May prepare budgeting, project scheduling, and statistical reports as required.

Minimum Job Requirements:

Business and Administrative Support:

Ability to organize, prioritize, and follow-through to completion on multiple tasks, under strict deadlines and changing priorities. Ability to work with sensitive information and/or classified matter.

Under limited direction, coordinates and assists in planning logistics, scheduling, announcements, and administrative facilitation of meetings and conferences.

Provide expert-level administrative support which includes foreign and domestic travel, visitor agreements, policy and document management, procurement, webpage/SharePoint maintenance.

Expert-level knowledge of and experience with standardized software packages and/or required software for specialized functions, organizations, and/or programs.

Communication:

Demonstrated excellent verbal and written communications skills, including experience preparing correspondences, documents, procedures, presentations, and specialized reports with considerable responsibility for content while ensuring accuracy and attention to detail.

Demonstrated excellent oral and written skills, including proofreading, grammar, spelling, punctuation, accuracy, and attention to detail. Excellent customer service skills

Leadership:

Proven competence in providing office management and advanced administrative leadership including expert knowledge of Laboratory organizational structure and policies, practices, and procedures.

Fosters a mutually respectful and inclusive work environment that is free from discrimination and harassment.

Proven ability to effectively work in a team environment with the ability to interact and network with all levels of internal and external personnel.

Education/Experience:

Position requires a Bachelor’s Degree and 2 years related experience; or, an equivalent combination of education and experience directly related to the occupation. Undergraduate coursework may be expected at this level.

Desired Qualifications:

Expert-level knowledge of the Laboratory’s organizational structure and administrative policies, practices, and procedures. Knowledge of governmental regulations and potential environmental impacts related to administrate practices.

Active Q clearance is desired.

Work Schedule:

This is an in-person, full time, on-site job position. ALDWP-COO work 4 x 10-hour shifts per week, Monday through Thursday.

Work Location:

The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
