Receptionist

Purpose of the Position

This position is responsible for professionally receiving and managing visitors/guests, telephone calls, and emails, as well as a variety of clerical duties and support activities within the office.

Responsibilities & Essential Functions

Answer incoming calls in a friendly and timely manner.

Understand nonverbal cues and learn habits/preferences of high-volume call recipients.

Manage reception area and greet visitors with an image of confidence and professionalism.

Hold firm boundaries with sign-in/outs to ensure done correctly.

Receive and process incoming and outgoing mail, packages, and deliveries.

Monitor incoming emails and faxes.

Maintain office supply inventory, lunchroom(s) inventories, breakroom inventories and order operations supplies as needed.

Maintain a clean and organized office environment.

Assist with packaging and shipping of sample(s).

Manage the North Freeze Dry Swag inventory.

Assist with the scheduling and coordination of meetings, orientation, events, & maintain calendars and requests for conference rooms, etc.

Help to manage travel/reservations for visiting staff/customers.

Assist with special projects as needed.

Other

Execute the North Freeze Dry Vision, Mission, and Values (VMV’s) at all times.

Promote a positive, proactive environment where input from team members is valued and encouraged.

Provide back-up support for other roles, as necessary.

Available for overtime on a scheduled basis, as necessary.

Other duties as assigned by manager/supervisor.

Qualifications

The ideal candidate will possess the following:

Associates degree in business, human services, or related preferred.

1-3 years in an office administration or strong support role.

Highly professional.

Demonstrated ability to hold firm boundaries.

Excellent verbal and written communications skills.

Proficient in Microsoft Office products including Outlook, Excel and Word.

Strong organizational skills.

Ability to work with minimal direction.

Meticulous attention to detail and accuracy in work produced.

Ability to meet and establish deadlines.

Flexibility and the ability to thrive in a fast-paced environment.

Excellent interpersonal skills and a team player.

Ability to establish and maintain effective working relationships in a team environment.

Ability to adapt and accommodate change.

While performing the duties of this job inside the office, the employee is frequently exposed to normal working conditions for an office environment with a noise level that is usually quiet to moderate. While performing duties of this job inside and outside the manufacturing plant, the employee is frequently exposed to normal working conditions of a food manufacturing facility with a noise level that is usually moderate to loud. The role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets, as well as laboratory instrumentation and equipment.
