RSPCA Bournemouth are in need of a experienced Secretary to oversee governance for the Board, who can organise meetings, assist in setting agendas, oversee minute taking (currently done by an admin assistant) and much more!

What difference will you make?

The Secretary to the Board of Trustees is a crucial governance role responsible for organizing meetings, managing documentation, and ensuring legal compliance. They prepare agendas, take accurate minutes, and maintain official records, acting as a vital link between the chair, trustees, and the organization.

You will also work with the Clinic Staff and be their link to the Board – depending on your experience of managing staff (would be advantageous), you would also line manage the Clinic Manager.

What are we looking for?

We are looking for people who are interested in animal welfare and have experience of being a Trustee in small charities.

The ideal candidate will have experience in all of the following aspects of the role.

Key Responsibilities And Duties

  • Meeting Management Organizing meetings, including booking, sending notices, and preparing agendas with the chair. Organise AGM
  • Minutes and Documentation Recording, distributing, and storing accurate minutes of meetings.
  • Governance and Compliance Ensuring the board operates within its governing documents, legal requirements, and regulatory guidelines (e.g., Charity Commission, RSPCA).
  • Communication Hub Acting as the main point of contact for trustees and managing correspondence.
  • Records Management Holding and updating statutory registers, policies, and key documents (using Sharepoint)
  • Induction Assisting with the onboarding and training of new trustees.

  • Organization and Attention to Detail Essential for managing meeting schedules and complex documentation.
  • Communication Skills Clear writing and verbal communication for minuting and correspondence.
  • Governance Knowledge Understanding of legal and regulatory requirements for charitable or corporate boards.
  • Discretion Handling sensitive information with confidentiality.

What will you be doing?

RSPCA Bournemouth is in a period of transition, and becoming a CIO in February 26. We run a veterinary clinic, with subsidised prices to assist people on low incomes.

We are looking for a person who has experience in taking on the Secretary to the Board role, who is organised and meticulous, ensuring our board meetings are as efficient as possible.

Liaising with various teams within RSPCA Head Office is also a crucial part of the role.

Applicants must be based within a reasonable distance of our operating area, namely, Bournemouth and West Hampshire, and able to attend at least some Board meetings in person
