Job Qualifications:
· Experience with financial management and accounting functions, particularly with accounts payable, tracking various account expenditures and balances.
· Knowledge of or willingness to learn financial management systems such as FMS
· Working knowledge of office document formatting and ability to proofread documents
· Data entry, math aptitude, and financial literacy skills are necessary.
· Organizational skills, ability to multi-task, and flexibility are a must.
· Experience with Microsoft Office, Excel, and Google Drive platforms.
· Excellent written and communication skills with the ability to build rapport with parents, students, staff, and vendors.
· Occasional travel for training or community partner events.
· Preferred – Bilingual (Spanish)
· Preferred – Bachelor’s Degree
Job Responsibilities:
· Performs all secretarial and clerical duties for the CTE Department.
· Process quotes, requisitions, and invoices for the CTE Department and confirm goods received.
· Ability to learn CTE pathways and keep accurate records for the DOE reporting
· Willingness to learn InTERS CTE Database software to facilitate data entry for state CTE reporting processes. Training will be provided.
· Assist with required reports for INTERS CTE database, including CTE pathway adoption, 30A report data entry, spring completion data (drops/adds/ earned credits and certifications), and errors with the GR report.
· Assist with the Perkins Grant Follow-Up Study by contacting previous year’s alumni.
· Coordinate with educators to ensure they have necessary classroom supplies.
· Responsible for organizing key CTE administrative electronic and paper documents.
· Collaborate with staff to secure sub coverage when needed.
· Assist with CTE Ambassador program for Career Center tours (elementary schools, outside businesses, etc.)
· Answers incoming calls and provides assistance by fielding questions, concerns, and complaints from parents, staff, and the general public and directs them to appropriate staff.
· Coordinate necessary paperwork for out-of-district staff professional development, including; professional meeting requests, travel arrangements, and reimbursements.
· Assist with coordinating field trips.
· Create agendas and minutes for the CTE team and leadership meetings with key CTE personnel.
· Assist the Guidance Department with CTE-related student inquiries.
· Responsible for maintaining an adequate inventory of office supplies.
· Any other duties assigned by the Director of Career and Technical Education
