Position Specific Summary
About University Events
University Events is a part of the University Advancement department at the George Washington University.
University Events is responsible for planning, executing, and evaluating events at the university ranging in attendance from 50 to 25,000 guests. They include, but are not limited to, the Commencement on the National Mall, Academic Honors, visits from dignitaries, university traditions, and a variety of special events.
The team has one graduate student assistant position available to start as soon as possible.
Job Description
The graduate student assistants provide support to full-time staff members. Under the guidance of staff members, the graduate student assistants will assist with:
- Managing a database system for registration and communication with attendees
- Brainstorming event objectives, concepts, and strategies
- Providing onsite support at events (to include occasional evening and weekend hours)
- Creating or editing event materials such as ESG, briefings, scripts, etc.
- Developing and implementing marketing plans to build attendance
- Preparing work schedules and deliverables, RFPs, and event management plans
The position also provides administrative assistance. These responsibilities include:
- Answering calls, emails, and providing customer support
- Maintaining material storage and inventory
- Creating and maintaining event records, including financial and archival information
- Administrative and clerical duties as assigned
Availability and hours
Applicants must be enrolled in a graduate program within GW, preferably in the first-year of the program. An interest in, or previous experience with, event planning, registration (or CRM) systems, or logistics is preferred.
Average work week is 25-30 hours in an on-campus office. Graduate assistants must have flexibility to adjust hours and availability based on the events schedule. Availability to work during Commencement Week (May 11-17) is preferred.
Skills required
This position requires standing for extended periods of time, lifting up to 20 pounds, climbing up and down stairs, and occasional work outdoors.

Standard Position Description
The student will perform basic administrative and logistical tasks supporting events. Tasks may include: event registration and check in, guest/patron services, scheduling of events, assisting with event set up and take down, participate in the creation and/or distribution of event materials. Special projects or other duties may be assigned related to specific departmental needs.

This is an entry level position, little to no experience required, all training will be provided.
