Receptionist / Medical Office Administration

Overview:

The medical office administrator to be responsible for overseeing the daily operations of a small medical practice in Kenwood. Ensuring smooth functioning of administrative, financial, and operational tasks, and most importantly facilitating a positive patient experience.

Key Responsibilities:

1. Administrative Management:

– Manage patient scheduling, ensuring appointments are appropriately spaced and that patients are seen in a timely manner.

– Oversee medical records management, ensuring compliance with regulations regarding confidentiality and record-keeping. License compliance for the office, providers and staff.

– Coordinate billing and processing payments, and resolving billing disputes.

– Providing communication with patient and directing communications to staff appropriately.

2. Financial Management:

– Develop and manage the office budget, including revenue and expense forecasting.

– Monitor accounts receivable and payable, ensuring timely payments and following up on outstanding balances.

– Implement financial policies and procedures to ensure compliance with regulatory requirements and best practices.

3. Human Resources Management:

– Recruit, train, and supervise office staff, including conducting performance evaluations and providing ongoing training and development.

– Handle employee relations issues, including conflicts resolution and disciplinary actions when necessary.

– Ensure compliance with employment laws and regulations, including those related to healthcare industry standards.

4. Facilities and Equipment Management:

– Oversee maintenance and upkeep of the office facilities and medical equipment, coordinating repairs and replacements as needed.

– Ensure compliance with safety and cleanliness standards, including OSHA regulations and infection control protocols.

5. Patient Relations:

– Serve as a point of contact for patient inquiries, complaints, and feedback, addressing concerns and resolving issues promptly and professionally.

– Implement strategies to improve patient satisfaction and retention, such as implementing patient education programs and streamlining appointment scheduling processes.

– Maintain confidentiality and privacy of patient information in accordance with HIPAA regulations.

Qualifications:

– Excellent communication and interpersonal skills, with the ability to interact with patients, staff, and healthcare providers professionally and compassionately.

– Previous experience in a medical office management role or related healthcare administrative position.

– Education in healthcare administration, business management, or a related field (preferred).

– Strong leadership and organizational skills, with the ability to multitask and prioritize tasks effectively.

– Proficiency in medical office software and electronic health records (EHR) systems.

– Knowledge of healthcare regulations, including HIPAA, OSHA, and billing and coding requirements.

Working Conditions:

– Work primarily in single location small medical office in Kenwood.

– May require occasional evening or weekend hours, depending on the needs of the practice.

– Involves prolonged periods of standing, sitting, and computer use.
