Job Overview
We are seeking a highly organized and detail-oriented Real Estate Administrative Assistant to support the daily operations of our real estate portfolio, which includes rental properties, potential acquisitions, and active development projects. The ideal candidate will excel in administrative tasks, file and financial management, communication coordination, and providing general operational support. This position is a temp to hire meaning the right fit will be extended full time employment in the future.

Administrative Support:

Organize and maintain digital and physical files for all properties, projects, and acquisitions.
Prepare and distribute reports, presentations, and correspondence as required.
Handle data entry and maintain records

Financial Coordination:

Assist with bookkeeping tasks, including tracking income and expenses for rental properties and development projects.
Prepare basic financial summaries and assist with monthly reporting using QuickBooks or similar tools.
Manage payment schedules for vendors, contractors, and property-related expenses.

Property Management Assistance:

Maintain lease records, tenant communication logs, and maintenance schedules.
Coordinate inspections, property visits, and service requests.
Handle basic tenant inquiries and escalate issues as needed.

Acquisition Support:

Assist in organizing documents and files for due diligence during property acquisitions.
Perform light market research and data collection to support decision-making.

Communication & Coordination:

Act as the point of contact for tenants, contractors, and other stakeholders.
Schedule meetings, calls, and property visits for the team.
Assist with email management and responses to general inquiries.

Qualifications:

Previous experience in real estate, property management, or administrative support preferred.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and property management software (or willingness to learn).
Familiarity with QuickBooks or basic accounting systems is a plus.
Excellent organizational and multitasking skills with a high level of attention to detail.
Strong written and verbal communication skills.
Ability to work independently and prioritize tasks effectively.

Job Type: Temp-to-hire

Pay: $20.25 – $22.00 per hour

Expected hours: 30 – 40 per week
