DESCRIPTION
The City of Thousand Oaks has an excellent opportunity! We are seeking an organized and detail-oriented Senior Administrative Specialist to perform a wide range of office and administrative support functions. The Senior Administrative Specialist will be a team player, self-starter, and take a proactive and solutions-oriented approach in the support of the day-to-day department operations.
This position, which requires strong emotional intelligence, leadership, interpersonal and multi-tasking skills, will work on a 9/80 schedule and will assist with the operations of the City Manager’s Office.
PRIMARY RESPONSIBILITIES
The Senior Administrative Specialist will perform a wide variety of clerical, office, and administrative support functions including:
Provide high-level support to the City Council and City staff
Create, format, and edit reports, technical materials, and correspondence
Communicate with and respond to customer questions, and inquiries in person and via telephone
Prepare and submit agenda items for Boards, Commissions, and Council meetings including staff reports, agreements, contracts, and amendments
Serve as liaison between the department and the public, City staff, other City agencies, and outside groups.
Assist with organizing and managing department records; oversee records filing and retrieving, retention, and coordinate with off-site storage systems
Maintain a high level of confidentiality and handle sensitive information
Prepare meeting materials, and set up as needed
Facilitate and assist with employee timekeeping submissions and records
Coordinate travel logistics and authorizations; process and reconcile expense reports
Create and maintain databases of records and projects
Prepare various reports and correspondence
Monitor inventory of supplies and materials
Provide backup support for public meetings; prepare meeting minutes
Provides specialized administrative support in processing timesheets, processing accounts payables and/or receivable
Cultivate inclusive and respectful working relationships that support a sense of belonging for all employees and community members.
Act as Administrative Support Supervisor in supervisor’s absence

IDEAL CANDIDATE
Demonstrated ability to maintain confidentiality standards; experience with sensitive information
Customer service experience; working with a high volume of calls and in-person interactions
Demonstrated ability to effectively manage multiple priorities; excellent time management and organizational skills
Excellent computer skills, including intermediate proficiency with MS Office Suite
Outstanding written and verbal communication skills
Demonstrated ability to work effectively and collaboratively with internal and external partners and the public
Must demonstrate a high degree of emotional intelligence
The successful candidate should be an enthusiastic, adaptable, and collaborative professional
A valid Class C California driver’s license
EDUCATION
A minimum of a High School diploma or equivalent is required.
EXPERIENCE
4+ years of increasingly responsible clerical and office administrative experience; Experience in a municipal government setting is desirable.
