Job Description
PURPOSE OF POSITION:
Under the supervision of the Coordinating Manager/ Associate Executive Director for Perioperative Services, perform all scheduling-related tasks, and provide maximum administrative support to include, data entry, timekeeping and filing.
AREAS OF RESPONSIBILITIES:
Under the direct supervision of Asst. Coordinating Manager, reporting up to the Deputy Director of Operations.
Must be able to work with minimum supervision
Must maintain a professional, working relationship with Anesthesia and OR Nursing staff, Materials Management and other support services’ staff.
SPECIFIC DUTIES AND RESPONSIBILITIES:
Promptly schedule all optimized cases onto the Epic Snapboard, ensuring that scheduling guidelines are followed, and timeframes are adhered to.
Cancel old “add-on” case requests in the case depot for services with no designated navigator.
Confirms and validates case requests with Navigators or Surgical Services’ designee and document confirmation in Epic.
Responsible for informing the Navigator or Surgical Services’ designee to correct any case discrepancies and overbooking issues via email and phone call.
Conducts daily Scheduling AM huddle with representative from various disciplines and shuffles cases on the Snapboard as requested by the huddle team.
Prints the finalized copy of Surgery Schedule for following business day at 1 :00pm.
Attend OR scheduling-related meetings on behalf of manager.
Assist with charge posting duties.
Performs other clerical and administrative tasks as required.
Duties & Responsibilities
1. A high school diploma or its educational equivalent; and
2. Six (6) months of full-time satisfactory clerical experience and/or experience interacting with the public, such as processing sales; taking, processing, and delivering orders; obtaining and dispensing information; listening to and resolving customers concerns, problems, and complaints; and/or performing related customer service activities.
